1. Who we are

This privacy policy applies to the processing of personal data by:

BYR Logistics V.O.F. is the data controller within the meaning of the General Data Protection Regulation (GDPR). A V.O.F. (Vennootschap onder Firma) is a Dutch general partnership. The partners are jointly and severally liable for the obligations of the partnership.

2. What data we collect

We only process personal data that you provide to us directly, for example via the contact form or quote request form on our website:

• First and last name, job title, company name
• Email address and phone number
• Shipment details entered in the quote form (origin, destination, weight, goods type)
• Any other information you voluntarily share with us via email or WhatsApp

We do not process special categories of personal data such as health data or political opinions.

3. Why we process your data

• Performance of a contract — to send you a quote, respond to enquiries and provide our services.
• Communication — to contact you about ongoing or future assignments.
• Legal obligations — retaining business correspondence and financial records under Dutch tax law.
• Legitimate interests — improving our services and maintaining the business relationship.

• Performance of a contract (Article 6(1)(b) GDPR)
• Legal obligation (Article 6(1)(c) GDPR)
• Legitimate interests (Article 6(1)(f) GDPR)
• Consent, where explicitly given (Article 6(1)(a) GDPR)

5. Retention periods

• Quote requests not resulting in an assignment: maximum 12 months after last contact.
• Client data from contractual relationships: 7 years, per Dutch statutory retention requirements.
• Contact form messages: maximum 12 months, unless a business relationship arises.

6. Sharing with third parties

We only share your data where necessary for service delivery or required by law:

• Airlines and handling agents — for shipment execution.
• Customs brokers — for customs clearance and compliance.
• Transport partners — for last-mile delivery or collection.
• Government authorities — such as Dutch Customs, where legally required.
• Formspree — processes form submissions on our website per their own privacy policy.

We never sell personal data to third parties. We enter into data processing agreements with processors where legally required.

7. International transfers

For international air freight shipments, shipment-related data may be shared with parties outside the EEA. This is limited to data strictly necessary for execution of the assignment. We take required measures to ensure adequate protection.

8. Security

We apply appropriate technical and organisational measures to protect personal data against loss, unauthorised access or misuse. Our website uses HTTPS encryption and security headers. Access to client data is limited to staff with a need to know.

9. Your rights

Under GDPR you have the right to: access your data, correct inaccurate data, request erasure (subject to retention obligations), restrict processing, object to processing on legitimate interest grounds, and receive your data in a portable format.

10. Cookies

We do not use tracking or analytics cookies. No advertising cookies are placed. A technical session cookie may be used for form functionality — it contains no personal data and expires when you close your browser. If analytics tools are added in future, this policy will be updated.

11. Changes

We may update this policy from time to time. The current version is always on this page. Significant changes will be communicated to existing contacts by email.
